What is GD-PI management?
After an applicant fills their application form, the next step will be to call him for an interview process and assess them. Initially, when the applicant fills their application form we can collect details about what is their preferred city, where they would like to attend the interview. This will help us to better plan our panel and the number of days we need to conduct an interview and we can also have a real-time check on how many applicants have selected a given city option.
For Example: Let's consider a situation where 2000 applicants have filled the application form out of which only 700 are eligible for the interview. We can mark these applicants under a particular stage and we can show the option to select the slots to only these applicants. We can allow the applicants to select the required slot in which they want to attend the interview process from the applicant dashboard itself.
I. Slot Booking for the applicant
Once the applicant has filled the application form we can show a button in the applicant dashboard to the selected set of applicants whose application has been shortlisted by moving them to a particular stage and now we can show slot booking option to applicants in that particular stage, clicking on which they will be allowed to select the slot from the predefined list.
Once the applicant books their slot they will not be allowed to edit it. The button to book slot will not be available in the applicant dashboard.
(Kindly refer to the applicant flow section for more details)
Limit on city preference and slot capacity
We also have an option to limit the number of applicants in a particular city and a particular slot. After the particular number is reached the city and the slot, the option will not be shown to the applicants.
Applicant View
Step 1: Applicant will see a button with the name Book GD-PI Slot
Step 2: When the applicant clicks on the button they will get an option to select the address, date, and time in which they wish to attend the interview process
Note: Once the applicant has filled the data and clicked on save, the field will not be editable to the applicant.
After the slot is booked we can show the booked slot in the applicant dashboard
Institute View
To view the booked city preference
Step 1: Navigate to the Application Manager from the left side navigation menu. Click on Filters, select the form name and you can filter using the sort filled by the applicants
Step 2: Click on Add/Remove Column and add the Interview city column to view the data
Step 3: To view the number of applicants who have selected a particular slot. We can use the following filters and to see the details click on Add/Remove column and select the required fields
II. How to configure my process flow?
Step 1: To limit the number of applicants who can select a particular city preference we can set a limit to by going to Post Application -> GD-PI Management -> Venue city maximum capacity
You can set a limit to how many applicants can book a particular slot.
Note: As soon as the slot reaches its maximum capacity automatically the slot will be removed from the drop-down i.e., it will not be visible to applicants to select from.
Initially, when no applicants have selected any city option the graph will look like the screenshot attached below
As soon as the applicants start updating the city preference you will be able to see a real-time graph which shows how many applicants have selected a particular city as of now
Planning the GD-PI process
We can plan for how many days the process will go according to the current plan and then increase the number of panels in case the number of days for which the process will go on is more than the number of days we had planned. We can do different permutations and combinations to reach at our desired plan using the GD-PI Planner
This will help us define the plan for the interview
Maximum Capacity Per Panel Per Day: In one day how many applicants a single panel can interview. I.e., the maximum number of applicants they can interview on any given day
Total number of Panels: The number of panels you have allocated for that city
Days the Process will run: It is calculated based on the number of applicants who have opted for the given city and the number of applicants all panels can handle. This gives us an idea about how many days the interview process will go on.
GD-PI Plan Summary
When we plan for the GD-PI process we can plan it for applicants in one particular stage who have met the initial criteria and who are eligible for the interview process. The stage can be selected in the drop-down option in Select Post Application Stage
After we plan it we can update the final data in the GD-PI Plan summary. Click on save and next to update the venue address, interview date, and time
III. Scheduling the process
We can update the venue address and dates and the time at which the interview will happen.
If the process will happen for multiple days then we can choose multiple days
Allocating Panel:
Select the fields and click on Allocate on the top right corner. Select the date from which the applicant should select the details from the applicant dashboard.
As soon as we set these options we can again show the date and time option to the applicant in his dashboard and ask them to book the slot on the preferred date and time
Once the applicant starts to book the slot, on the same page we can scroll down and when we can select the city and date from the drop-down and can see in real-time the count of how many have registered for the process
To Assess the applicant on the day of the interview
